GENERAL STATEMENT OF DUTIES:
This is skilled administrative work responsible for providing administrative support to the City Manager. Work involves public contact, maintaining a variety of complex records, and handling phone calls and meeting schedules for the City Manager. Receives and handles privileged/confidential information with sensitivity and discretion. Work is performed under the supervision of the City Manager.
SPECIFIC DUTIES:
Provides administrative support to the City Manager; Aids the City Manager by performing and coordinating office services and by assisting in the execution and flow of work and information to and from elected officials, department directors, staff and citizens; Handles incoming inquiries and requests; answers the telephone; routes and returns telephone calls; files; types forms and applications; Prepares and distributes the City Council’s regular, workshop and executive session agendas to council members, IT and Public Information departments, and all other necessary departments and parties; following all meetings, sends relevant agendas and notes to the appropriate City departments; Opens all mail for the City Manager and routes mail to appropriate department personnel; Schedules business, political, community, and interdepartmental meetings; maintains City Manager’s calendar; makes travel arrangements for City Manager; takes notes and minutes of meetings; Attends City meetings and functions as required by the City Manager; Completes special projects as assigned; performs other related duties as assigned.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
Must have knowledge of modern office practices, methods, equipment, and standard clerical procedures; Ability to handle several projects simultaneously; Ability in either writing shorthand or speedwriting; Ability to understand and follow quickly and accurately oral and written instructions; Ability to prepare clear and concise reports and maintain accurate records; Ability to handle multiple interruptions. Proficient in researching ordinances, policies and procedures.
EDUCATION AND EXPERIENCE:
Associate’s degree required; Bachelor’s degree preferred; five (5) years of progressively responsible administrative work, with some experience at the local government preferred; equivalent combination of education and experience. Considerable experience in working with the general public.
